Implementation of Eva

Eva live in your practice.Without extra pressure on your team.

We configure Eva around your practice rules, calendar, phone routing and WhatsApp/SMS follow-up. Your PMS stays leading where needed. Eva takes over the agreed front-desk flows around it.

The process

From PMS export to live go-live.

We keep the implementation practical: request the export, import the right data into Voicelabs, then let Eva take over the agreed front-desk flows with supervision.

011 week

Request the PMS export

Together we request the calendar and practice export from your PMS. That export is the base for appointments, treatment types, recall, reminders and follow-up.

  • Calendar and patient export requested
  • Required fields checked upfront
  • Practice rules collected while the export is prepared

Import and configure

Once the export is ready, you securely import it into your Voicelabs environment. From that point Eva can take over phone, website, reminders, recall and follow-up according to your rules.

  • Data imported into Eva and the dashboard
  • Phone, WhatsApp and website flows configured
  • Automatic reminders, recall and follow-up activated
03Go-live

Eva live with supervision

On go-live we monitor conversations, appointment actions and follow-up. Small improvements are processed immediately so the setup becomes sharper from real usage.

  • Live monitoring during first usage
  • Short feedback loop with your team
  • First-week tuning and reporting
Calm rollout

No double systems. No double reminders.

Eva does not force your practice into a new PMS. The existing system remains the source where needed. We make clear which flow Eva owns and which flow stays untouched.

Appointment logic is mapped before live use, so Eva follows the same rules your team already uses.

Reminder and follow-up flows are switched on deliberately, so patients do not receive duplicate messages.

If Eva is not certain, she escalates instead of guessing. That keeps the team in control.

Implementation timeline

We stay close until Eva is running.

Implementation runs in three clear weeks. First Eva is configured around your practice, then we test the flows and in week 3 Eva goes live with guidance.

Eva configured around your practice

Together we request the PMS export and define opening hours, treatments, urgent cases, call transfers and tone of voice.

Import and test environment

You securely import the data into Voicelabs. We configure phone, website, WhatsApp/SMS, reminders, recall and follow-up.

Go-live and fine-tuning

Eva takes over the front-desk flows in a controlled way. We monitor real conversations and process improvements directly.

After go-live

The first weeks are where Eva becomes practice-specific.

A good AI receptionist improves quickly when real conversations come in. We use the first weeks to fine-tune the setup around your patients, your team and your edge cases.

First two weeks

Short feedback loops, dashboard checks and direct updates to flows that need sharpening.

Fixed contact person

You always have one fixed contact person during implementation and the first operational weeks.

Short lines

Our technical team is on standby and responds within 24 hours, so small questions do not slow down the front desk.

Questions

What practice owners ask before implementation.

Do we need to replace our PMS?

No. Eva works around your current practice setup. Where a PMS integration or export is needed, we map the handoff clearly before live use.

How do you prevent duplicate reminders?

Reminder and follow-up flows are configured deliberately. If the PMS already owns a flow, Eva does not send the same message unless that is explicitly part of the setup.

What does our team need to prepare?

Mostly practical rules: opening hours, treatment types, provider preferences, urgent cases, greeting, tone of voice and when Eva should transfer to a human.

Can we test before going live?

Yes. We test realistic scenarios before live use and refine the answers, routing and escalation logic before patients depend on the flow.
